Construction Administrator

Position Summary: currently seeking a stellar Construction Administration professional. This position reports directly to the Senior Vice President of Real Estate Development and will provide critical project support for all phases of construction projects. 

Primary Responsibilities: 

  • Manage and administer Procore for a fast-paced construction team.

  • Prepare and process construction administration-related paperwork including, but not limited to, Requests for Proposals (RFP), Architect’s Supplemental Instructions (ASI), Response to Request for Information (RRFI), Proposal Requests (PR), Response to Change Order Proposal (RCOP), Construction Change Directives (CCD).

  • Develop a consistent bidding process within Procore and create workflows for

  • Work closely with external estimators and accounting to secure proposals during the bidding phase of construction.

  • Manage and organize all Daily Logs, Project Status Reports, Schedules, RFI Logs, Safety Reports and Project Meeting Minutes.

  • Review plans and specifications for accuracy and consistency. Upload plans for subcontractors and consultants through Procore.

  • Support project team with filing and document management following best practices.

  • Review/study prints, specifications and other pertinent project-related documents to ensure design and development of plans meet company (where relevant, tenant) requirements and are consistent with design guidelines.

  • Manage required permits and reports as required by governmental codes and construction standards.

  • Maintain Project Directory and Subcontractor information creating archives and resources for future use.

  • Organize and manage all meetings for construction projects and developments including maintaining and distributing minutes.

  • Develop a file management system and maintain all job files including accurate budgets.

  • File and manage ALL contracts and ensure COIs are in place for all subcontractors acting as the Liaison between Accounting and Real Estate.

  • Work with architects and designers to secure and organize spec binders, storyboards and samples.

Requirements

  • A minimum of 2 years of demonstrated success in commercial construction and administration.

  • Proficiency and proven success with administering Procore for multiple commercial projects.

  • Strong ability to organize, prioritize and communicate (written and spoken) with all levels of staff.

    Ability to travel to sites, attend meetings to maintain an up-to-the-minute pulse of the various projects.

  • Working knowledge of CSI codes and architectural specifications by discipline.

  • ·Working knowledge of accounting processes and invoice reconciliation.

  • Excellent computer skills - proficient with Procore, Microsoft Project and Office (PowerPoint, Excel, Word, Outlook); Yardi.
